Hello @Annamalai Vairavan,
Thank you for posting your valuable question on Microsoft Q&A forum.
According to your description, I understand that you don't want other users' Event setting to affect your Out of Office setting and keep the pink line. Please correct me if I was wrong.
There's currently no native way to show the pink OOO shading and avoid affecting others' calendars when sending invites. However, there are some workarounds you may want to try:
Create an OOO Event Without Inviting Others
- Set the event as "Out of Office".
- Do not add attendees.
- This will show the pink shading on your calendar without affecting others.
If you need to inform stakeholders, consider sending a separate email or Teams message instead of a calendar invite.
Add a Note in Your Calendar Title
- Example: “OOO – FYI Only, No Calendar Impact”
- Set it as “Free” to avoid blocking others, and use color categories to visually highlight it.
As you’re already familiar with how this feature could be improved, I’d like to guide you on how to share your feedback directly with the Microsoft Product Team. They actively monitor the feedback portal and regularly review suggestions and comments from users like you. In fact, many product enhancements and new features have been implemented based on customer input.
Here’s how you can submit your feedback:
Through the Microsoft Feedback Portal
- Go to Microsoft Teams · Community
- Sign in with your Microsoft account.
- Choose Send Feedback and fill in the form.
- Describe your suggestion clearly and concisely.
- Submit and optionally upvote similar ideas from other users.
You can also give feedback within the Teams desktop app:
- Click the three dots next to your profile > Feedback > Choose Report a problem.
- You will see a pop up like this > Under Select a category, scroll down to choose "Other":
- You can fill in the form with your ideas and description to submit feedback.
If you want to help other users who encounter the same issue, you can click Accept Answer and kindly upvote it. This will pin the answer on the top of this thread and help other users find this Feedback Instruction more easily. Other users can also help you upvote your feedback and show your demand to Microsoft Product Team. Your input not only highlights the importance of this feature but also supports other users experiencing the same challenge.
In the meantime, I will also forward your feedback to the appropriate team for further consideration.
