Hi,

A shared folder is in Microsoft Teams, and I can access and view the files through the Teams navigation pane without any issues.

However, when I try to sync the folder to my local drive by clicking the Sync icon, I encounter an error message (please see the attached image). Could you please advise if this is a known bug or if there are additional steps I need to take as a user?

Thanks.

    Hi @Men

Thank you for posting your question in the Microsoft Q&A forum.

Thank you for reaching out regarding the issue you are experiencing while attempting to sync a shared folder from Microsoft Teams to your local drive. I understand how important seamless file access is for your workflow.

To help move forward effectively, I’ve outlined a few steps below that may resolve the issue. Since this problem can arise from various underlying causes, I’d appreciate it if you could try the steps and share the outcome with me. Your update will help ensure we continue troubleshooting in the right direction and provide the most accurate guidance possible.

    1. Please verify the Permissions
Make sure you have Edit permission on the folder or document library. This level of access is required for the Add shortcut to OneDrive feature and often necessary to avoid sync issues.

If you only have View access, kindly request the owner to update your permissions.

    1. Check How the Folder Was Added
In File Explorer, the folder should already be visible under your OneDrive if you have already used Add shortcut to OneDrive. There is no need to press the Sync button once more in this instance.
    2. Shortcut and Sync Conflicts
You cannot use both Sync and Add shortcut to OneDrive on the same folder or library. If a shortcut exists, remove it before using Sync, or stop syncing before adding a shortcut. This is expected behavior to prevent duplication.
    3. External Sharing Limitations
Syncing content shared from another organization is supported only when certain conditions are met (such as sign‑in required links and guest access). If you received an anonymous link, please ask the owner to add you as a member or guest of the Team or SharePoint site.
    4. Syncing Subfolders
Syncing a subfolder is supported but prevent mixing Add shortcut for a subfolder with Sync for the parent library. For targeted access, use Add shortcut to OneDrive; for full offline access, use Sync on the entire library.

Regarding your questions, these behaviors are not bugs but design limitations in how OneDrive integrates with Teams and SharePoint. Microsoft recommends using Add shortcut to OneDrive for shared folders whenever possible.

Additionally, if you are attempting to sync a subfolder rather than the entire document library, OneDrive may fail to complete the process. Teams stores files in SharePoint document libraries, and syncing works best when applied to the full library.

Note: Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.

Thank you for your patience and your understanding. If you have any questions, please feel free to reach out.

What type of access do I need so that I can Sync the shared folder on my local drive?

@Ian-Ng Yes, I have access to the folder. I can make folders and delete folder. Edit files and save it. Upload files and delete.
