Can receive any notification when task is assigned to me in planner

Issue: I am a guest in another company’s Microsoft Teams Planner plan. When tasks are assigned to me, I do not receive email notifications, though I can see tasks in Teams. Internal users and external users in their tenant do receive notifications. I also get notifications when I assign tasks to others.

What’s been done:

Checked Planner/Tasks app notifications in Teams (enabled “Assigned to me”).

Checked Outlook for Group emails; no Group mailbox visible.

Confirmed emails are not in spam/junk or filtered.

Verified notifications work for tasks in my own tenant.

Current Understanding:

The issue affects me as a guest in another tenant; Planner task assignment emails are not sent reliably to external users.

Outlook Groups for the plan are either hidden or not linked.

Request:

  • Please advise why I am not receiving notifications.

Confirm if a cross-tenant solution (e.g., Power Automate flow) is required and how to implement it.

    1. Why Email Notifications Don’t Work for Guests Outside the Host Tenant?

    By design, Planner sends task assignment notifications through the Microsoft 365 Group mailbox associated with the plan. Guest users from another tenant do not have a mailbox in the host tenant’s Exchange Online environment, so these emails cannot be delivered.

    This is a design limitation, not a configuration error. Team’s notifications work because they use a separate service, but email notifications rely on the Group mailbox, which guests outside the tenant cannot access.

    2. About Power Automate flow you mention in your request

    About this solution, technically, you could create a Power Automate flow in the host tenant to send an email directly to your external address whenever a task is assigned to you. However, this approach is quite complex because:

    • It requires permissions and setup within the host tenant.
    • Managing conditions for guest UPNs and cross-tenant flows can be challenging.

    So, my strong recommendation: Please raise feedback to Microsoft via https://feedbackportal.microsoft.com/feedback so this feature can be considered for future updates. Native support for guest notifications would be the most reliable and secure solution.
