I am having difficulty accessing attendance reports for meetings that were created/sent via a shared Microsoft Outlook/Teams account. I am unable to access the report that shoes invitees that joined the meeting and their engagement activities.

    Hi @Jennifer Chan,

    Welcome to Microsoft Q&A forum.

I understand you're having difficulty accessing Microsoft Teams attendance reports for meetings that were scheduled using a shared inbox or calendar. You mentioned you're unable to see the list of invitees who joined and their engagement, which is essential for your records.

It happens because the shared mailbox is technically the meeting "organizer," not your personal user account. By default, only the organizer can access these reports.

Therefore, the solution is to add your account as a co-organizer to the meeting. This will grant you the necessary permissions to view and download the attendance and engagement reports.

Here are the steps to fix this for both existing and future meetings:

    Step 1: Add yourself as a co-organizer.

This process works even for meetings that have already passed or are part of a recurring series.

    1. Sign in to the shared mailbox or open its calendar in Outlook.
    2. Open the meeting invite > Meeting Options
    3. Add yourself in the co-organizers field.
    4. Click Save
    5. Restart Teams to sync permissions.

You need to fully quit and restart your Microsoft Teams application. This forces Teams to sync the new permissions.

Note: if the meeting has passed, the attendance report cannot be accessed by adding co-organizers later.

Step 2: How to Access the Report

Once Teams has restarted and the meeting has concluded, the report will be available in Chat section:

    1. In Teams, go to your Chat tab.
    2. Find and open the chat for the concluded meeting.
    3. An Attendance tab will now be visible at the top of the chat window.
    4. You can view the data directly or click Download to get the .csv file.

Note: Co-organizers can only view and download reports from events scheduled in Teams, not Outlook.

Kindly follow these steps should resolve the issue and give you access to the reports you need. Please let us know if you have any further questions or if the problem persists.

I hope this information is helpful. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.

I just want to clarify as there is conflicting information above - if you add yourself as a co-organizer for a meeting that has already passed - can you access the attendance report or not?

I just ran into this issue today as well. I used to be able to access reports for past meetings when I added myself as a co-organizer after the fact. The attendance tab would then show up,and I would be able to access the report. But it does not seem to work that way anymore when I tried today.
