Changing email account on Microsoft Teams channel - will it erase documents?

Hello,

My company previously had Premium access to Microsoft Teams using an ex-colleague's email. Since that colleague's email account has been deactivated, we are unable to reinstate her Premium access. If we add a different person as the owner or Premium user, will all of our data remain intact? We have several channels with important files and documents, and we would like to use Calendar Pro like we were able to before. We would like old data from Calendar Pro to remain intact, as well. Any insight on how to do this? Thank you.

    Let me answer your question:

    • Will changing the Owner or Premium user erase documents?

    No, your data is safe. All channels, files, and documents in Microsoft Teams are stored in the associated Microsoft 365 Group and SharePoint site, not on an individual user’s account. Deactivating a user does not delete the Team or its content. When you assign a new Owner, they will have full administrative rights to manage the Team and its files.

    • About Calendar Pro data:

    Your existing calendar data remains intact.
    Calendar Pro features are part of Teams Premium. While the license tied to the previous user is inactive, the historical calendar entries and meeting data are still stored in Exchange Online/Microsoft 365. You only lose access to Premium features (e.g., Virtual Appointments, Intelligent Recap) until a new license is assigned. So, I recommend you try my suggestions below:

    1. Add a new Owner to the Team
      • Ask your Microsoft 365 Admin to go to Teams Admin Center, locate your Team, and add you (or another active user) as an Owner.
    2. Reassign the Teams Premium license
      • Your Admin should check available Teams Premium licenses and assign one to the new Owner or another active account.
      • Once assigned, Premium features (including Calendar Pro) will be restored.

    Your data will remain intact. To regain Premium functionality, simply add a new Owner and reassign the Teams Premium license.
