Teams calendar tracking of invitees

Invitees respond to a Teams calendar invite as accepted-send notification and accepted-do not send notification. If someone accepts and sends a notification, I get an email from each person and I can track it with scheduling assistant. If someone accepts the invite, but does not send the notification, I cannot track which invitees have accepted. I would like to be able to track who accepts, but do not want to see a dozen emails in Outlook saying they accepted the invite. Is it possible to track who accepts an invite if they do not send a notification?

In Microsoft Teams, when invitees respond to a calendar invite, their responses can vary based on whether they choose to send a notification or not. If an invitee accepts the invite but does not send a notification, it can be challenging to track their acceptance directly through email notifications. Unfortunately, Teams does not provide a built-in feature to track accepted invites without notifications in a consolidated manner like the Scheduling Assistant does for those who send notifications.

To manage this, you may need to rely on the Scheduling Assistant or manually check the meeting details in Teams to see the list of attendees and their response statuses. However, this means you will not receive email notifications for those who accepted without sending a notification.

If tracking is essential without the clutter of multiple emails, consider discussing with your team the importance of sending notifications upon accepting invites, or explore any third-party tools that might integrate with Teams for enhanced tracking capabilities.

    Hi @Larry Navarrete,

Thank you for posting your question to Microsoft Q&A Forum.

When someone accepts a Teams or Outlook invite, they can either send a response, triggering an email and immediate Scheduling Assistant update, or choose not to send a response, which marks the event as accepted in their calendar but leaves you without a notification, making it hard to track acceptance without checking meeting details.

I'd love to say you don’t need “Accepted” emails and you can check the meeting tracking tab instead.

Please find below the steps to view attendee responses using Outlook on the Web:

1/ Sign in to Outlook Web:

Sign in to https://outlook.cloud.microsoft/ with your work account.

    2/ Enable “Request Responses”

    When creating the meeting:

Locate and expand Response options > Ensure that “Request responses” is checked

    3/ Access the Tracking Tab:

    After sending the meeting invite:

Go to your Calendar > locate the meeting > right-click the meeting and select Open > click on the Tracking tab

This will display the response status of each attendee (Accepted, Declined, or Didn't response).

If you want to to have acceptant email for more ensurance, you can avoid dozen emails filling your inbox by recreating a rule:

    1. Go to Outlook on the web → Settings (gear icon) → View all Outlook settings.
    2. Navigate to Mail → Rules → Add new rule.
    3. User's image
    4. Name the rule (e.g., “Meeting Responses”).
    5. Condition: Subject includes: Accepted: Meeting Tentative: Meeting Declined: Meeting

    1. Action: Move to folder → choose or create Meeting Responses.

    Hi @Larry Navarrete,

    Thank you for your response.
I'd love to give you clarification according to official articles from Microsoft:

In Attendees can see others’ responses to a meeting invitation, the tracking feature works with other platforms except Outlook for Windows.

    User's image

In all versions of Outlook other than Outlook for Windows, if a Microsoft 365 attendee chooses to accept, tentatively accept, or decline the invitation and to not send a response, the attendee list seen by the organizer and other attendees in Microsoft 365 is updated to reflect the attendee's response. In Outlook for Windows, if the attendee chooses not to send a response, the response can't be viewed by the organizer or other attendees.

You can use Outlook on the web to help you with this issue.

In Shared calendars updates in Outlook for Windows, you can see the tracking tab was received update and change with how they accept response.

Please sign in with https://outlook.cloud.microsoft/ to track the attendee's behavior with some test accounts.

I hope this information give you more insights with your issue. Please follow these steps and let me know if it works for you. If not, we can work together to resolve this.
