Microsoft Teams Meeting - Laser Pointer Shared Content

We use MAC Microsoft Teams meetings for training on how to use a software package. There are times where have the user sharing their screen and we verbally guide them through the steps of using the software.

One of the most time consuming and frustrating part is verbally telling them where to click on the screen certain buttons/area.

If we are the Organizer of the meeting, is there an option where we can have a laser pointer/spotlight of where to click on the screen when sharing content?

We are using macs and I see no option for annotation when sharing content even when we are sharing our screen.

Currently, Microsoft Teams does not support a built-in laser pointer or spotlight feature for screen sharing on Mac. While you can share your screen during a meeting, the ability to annotate or highlight areas on the screen is limited. As of now, only certain features are available for screen sharing, and annotation tools may not be accessible on Mac devices.

If you are looking for ways to guide users more effectively, consider using a separate tool for annotations or highlighting, or you might explore using a different device that supports these features if available.

    Dear @KJ,

Thank you for posting your question in the Microsoft Q&A forum.

Content sharing settings control how users present a screen or app during a chat, meeting, webinar, or town hall. You can configure admin settings for screen sharing mode, PowerPoint sharing, whiteboard, and shared notes in the Admin Center. For more information and instruction: Manage meeting policies for content sharing.

For information about how to manage who can present and who can request control, see Manage who can present and request control in Teams meetings.

When anyone shares Screen from the Teams desktop app, the presenter can start Annotations (Whiteboard‑powered overlay) and everyone can mark up the shared view. This is ideal for “click here” guidance because you can draw circles/arrows over the live content. For more information: Use annotation while sharing your screen in Microsoft Teams

Here are the steps to implement this organization-wide:

1/ Access the Teams Admin Center at https://admin.teams.microsoft.com/.

2/ In the left-hand menu, select Meetings > Meeting policies > You can either edit an existing policy or create a new one. To edit, select the policy assigned to your users. To create a new one, click on Add.

3/ Look for the Screen sharing mode setting. Set this to Entire screen to allow all attendees to share their screens.

4/ Additionally, ensure that Allow PowerPoint sharing, Allow whiteboard, and Allow collaborative annotations are enabled if you want to provide these functionalities. You need to enable Allow collaborative annotations.

5/ Once the policy is configured, assign it to your users. You can do this by navigating to Users in the admin center, selecting the user, and then assigning the appropriate meeting policy.

6/ Save the changes to the policy. Note that it may take some time for the changes to propagate to all users. Refer to Manage meeting policies for content sharing - Microsoft Teams | Microsoft Learn

Note: Make sure to assign the presenter role to the attendees, if you want they can the annotation.

Moreover, admin can also use the Set-CsTeamsMeetingPolicy cmdlet to control the content sharing settings. Set the following parameters:

    • ScreenSharingMode
    • AllowPowerPointSharing
    • AllowWhiteboard: Required because annotations use Whiteboard.
    • AllowCollaborativeAnnotations: This specifically turns on the annotation overlay during screen sharing. For reference: Collaborative annotations and Live share
    • AllowDocumentCollaboration
    • AllowSharedNotes
