Teams Calls - Is there a way to make Teams Calls window small or minimize by default?

Hello,

We have recently transitioned to Teams for our phone calls, which is an integral part of our organization. Representatives are operating 100-300 calls a day, which is now all done on Teams. While transitioning to anything new will have its challenges, this one thing is a large concern for us.

When receiving and answering a phone call, the window that opens takes up ~75% of the screen for every single call. We can minimize it to the smaller panel or to fully minimize it off screen manually, however it doesn't help much.

Due to the nature of our business, we can sometimes be receiving 20+ calls at a time, and we need to switch back and forth quickly from hold to active while also completing the task at hand related to that phone call. It is impossible to do so with 75% of our screen being taken up by inbound calls or active calls. This process takes an unreasonable amount of time with teams. We have noticed that if you are on the phone with someone, and accept another call (to put them on hold and return to the other) upon return to the original call, it immediately drops, unless you put that call on hold FIRST.

Question: Is there a way to have inbound calls default to the small minimized window?

Essentially I am trying to keep the screen available on my desktop while being able to answer, transfer, hold, and hang up.

This is a huge problem right now and drastically decreasing efficiency, I have not found any solutions online.

Can anyone provide any information on this? Or if this is something MS is working on?

Currently, there is no built-in feature in Microsoft Teams that allows users to set the default call window size to a minimized or smaller panel when receiving inbound calls. The Teams application typically opens the call window in a larger format, which can be cumbersome for users who handle a high volume of calls.

However, you can manually minimize the call window after answering, but this does not change the default behavior for future calls. It may be beneficial to provide feedback to Microsoft regarding this feature request, as they often consider user feedback for future updates.

For now, users may need to adapt their workflow to manage the call windows more effectively, such as using keyboard shortcuts for switching between calls or minimizing the window quickly after answering.

    Hi @DB,

Thank you for posting your question in the Microsoft Q&A forum.

Based on your description, the Teams Calls window currently expands to take up most of the screen during each incoming or active call, and you would like to have it minimized by default to maintain visibility of other desktop activities. We truly appreciate the time you’ve taken to outline the impact this has on your team’s workflow and efficiency during daily call operations.

The reason this behavior occurs is that the Teams Calls window is designed to provide quick access to key call controls and display participant details prominently. At this time, Teams does not include a built-in option to automatically minimize or default incoming calls to the smaller pop-out view. However, there are some steps you can take to manage the call window size more efficiently:

    1. Start a call or answer an incoming one.
    2. In the active call window, select the Pop out call icon (square with an arrow) to open the call in a separate, smaller window.

    1. Once popped out, manually resize and position this window to your preferred location. Teams should remember this placement for the current session.
    2. To quickly switch between multiple calls, use the Calls app in the Teams sidebar — it allows you to manage active, held, and incoming calls without reopening large call windows.
    3. Optionally, keep the main Teams window minimized and only use the popped-out call controls for a less obstructive workflow.

Microsoft is aware that many users performing high call volumes require more flexible screen management, and the Teams engineering team is actively exploring additional layout controls for future updates.
