Unfortunately, if the email was sent a couple of days ago and the recall feature is not active, there are limited options for removing it from the recipients' mailboxes. The recall feature in Microsoft Exchange Online is designed to work only under certain conditions, and if the message has already been read or if the recall was not initiated in time, it may not be effective.

For situations where recall is not possible, you may consider the following alternatives:

    1. Send a follow-up email: Inform the recipients about the mistake and request that they delete the original email.
    2. Use eDiscovery tools: If you have administrative access, you can use eDiscovery to search for the email and possibly delete it from the mailboxes, but this typically requires specific permissions and may not be feasible for all users.
    3. Contact IT support: If your organization has an IT department, they may have additional tools or methods to assist in this situation.

It's important to note that the recall feature does not work for messages that have been encrypted or sent to external recipients. Additionally, if the recall feature was disabled by an admin, it cannot be used.

    Dear @Mahmoud Moussa,

Thank you for posting your question in the Microsoft Q&A forum. I understand you’re concerned about an email with internal data that was sent by mistake a few days ago, and you’d like to remove it from recipients’ mailboxes.

I would like to clarify that Outlook’s “Recall” feature only works under very specific conditions (internal recipients, Outlook for Windows, message still in Inbox). After several days, recall is no longer effective, and it doesn’t apply to external recipients or Outlook on the web.

    What you can do instead:

    • For internal recipients (same organization): Your admin can use Microsoft Purview’s Search & Purge feature to locate and delete the message from mailboxes. This is the recommended approach for accidental data leaks.
    • For external recipients: Unfortunately, we cannot technically remove emails from outside mail systems. The best option is to send a retraction notice asking them to delete the message and confirm.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I truly appreciate your patience and understanding. If I misunderstood what you’re looking for, feel free to let me know or share a screenshot. I’d be happy to help further!

I'm looking forward for your reply. Thank you for your cooperation.
