I have been paying for a subscription for years after this employee left our employment. Attempted today to cancel but, I do not know her password, email address is no longer valid and operational, nor do we still have her computer. How do I cancel the subscription?

To cancel a subscription for an employee whose email no longer exists, you can follow these steps:

    1. Access the Microsoft 365 Admin Center: You will need to log in to the Microsoft 365 admin center with an account that has the necessary permissions (such as a Billing Administrator).
    2. Locate the Subscription: Navigate to the Billing section and select Your products. Here, you should find a list of subscriptions associated with your account.
    3. Select the Subscription: Identify the subscription you want to cancel and select it.
    4. Cancel the Subscription: On the subscription details page, look for the option to Cancel subscription. Follow the prompts to complete the cancellation process.

If you are unable to access the account due to the email being invalid or if you do not have the password, you may need to contact Microsoft Support for assistance in canceling the subscription. They can help you verify your identity and take the necessary steps to cancel the subscription.

    Dear @Debbie Santos

Thank you for posting your question in the Microsoft Q&A forum. I understand how frustrating it can be to continue paying for a subscription that is no longer needed, especially when the employee’s email account and device are no longer available.

To help me narrow down the cause, could you please provide the following details?

    1. Do you know what type of billing account you have (MCA, MOSA, etc.)?
    2. Are you the billing account owner or do you have administrative rights to the Azure/Microsoft 365 account?
    3. Have you tried accessing your subscription information from the Microsoft 365 admin center?
    4. Do you want to remove the sub from the suspected employee or cancel the sub altogether?

In the meantime, please try the following official troubleshooting options which usually resolve issues with basic issues:

(Please note that if you are a user you will need to ask your global administrator to perform these steps)

Option 1: Cancel the subscription via Admin center (in case you want to cancel for the whole tenant)

If this is a Microsoft 365 for Business subscription, you can cancel it directly from the Microsoft 365 Admin Center:

    • Sign in with your admin account at Microsoft 365 Admin Center.
    • Go to Billing > Your products.
    • Select the subscription you want to cancel.
    • Under Billing settings, choose Cancel subscription or turn off Recurring billing.

Option 2: Remove the former employee’s license (in case you just want to revoke the license for a particular user but not affect other users)

    • In the Admin Center, go to Users > Active users.
    • Select the former employee’s account (if still listed) and remove the license.
    • If the account was deleted, you can still cancel the subscription at the tenant level as described above.

Option 3: If you don’t know the account details

If you’re unsure which account purchased the subscription or cannot access it:

    Important Notes

    • Turning off recurring billing will stop future charges, but you can continue using the subscription until the end of the current term.
    • If eligible, you may receive a prorated refund depending on your region and subscription type. Details: Cancel a Microsoft 365 subscription - Microsoft Support

Please let me know if you have any further questions or if the problem persists after trying these solutions. Thank you for your patience and cooperation.
