Export customer activity logs for more insight into customer transactions

Appropriate roles: Admin agent

Activity logs are designed to capture detailed information about actions performed in the Partner Center.

CSP partners rely on the Partner Center activity log to keep tabs on security, auditing, and data analysis. With this tool, they can see what actions their delegated administrators have taken, spot anything unusual, confirm that promotions were applied as intended, and export logs for deeper analysis to help with compliance and fraud prevention.

Auditing and Security

  • Partners track what their delegated administrators do, making sure every action is legitimate and necessary.
  • The logs help catch suspicious activity from customers, reducing the risk of fraud and missed payments.
  • Reviewing the log lets partners double-check that security best practices are in place and that audit logging is working as it should.

Data Analysis and Reporting

  • You can export customer data from the activity log as a .csv file, which makes it easier to analyze transactions and management actions.
  • The log is also useful for verifying that new commerce promotions have been applied correctlyβ€”just look for the PromotionID and EffectiveUnitPrice.
  • By combining the activity log with other Partner Center tools, partners get a complete picture of performance across products and licensing models.

Activity logs include:

  • πŸ’³ Transactions: Purchases, modifications, or cancellations.
  • 🀝 Partner management actions: Activities related to managing customer accounts, subscriptions, or partnerships.
  • πŸ“œ History maintenance: These logs maintain a complete history of changes, ensuring transparency and accountability for all actions taken.
  • πŸ“‚ Export logs: You can export activity logs as CSV files for further analysis.

View and export activity logs

To view and export activity logs, use the following steps:

  1. Sign in to Partner Center and select Settings (gear)
  2. Select Account settings, and then select Activity Log.
  3. Select a down arrow for any activity log to view details about a logged action.
  4. Use the From and To fields to select the time span of the activity log.
    • The default time span is the most recent month.
  5. Select Export log to copy the customer's subscription data into a .csv file and download it to the default download folder on your computer.

Understand the types of data shown

Each activity log provides a link to the customer's Subscriptions page. A single activity log can show a significant amount of data, such as the ordering of multiple products.

Each activity log contains:

  • πŸ“… Date-Time: Captures exactly when the action occurred.
  • πŸ‘₯ Affected customer: Shows the company name of the customer involved.
  • πŸ› οΈ Action: Describes what action was taken (such as creating a referral).
  • 🀝 Partner user: Identifies which partner is associated with the activity.

Understand the retention limit for activity logs

Activity logs are limited to 800 records per subscription. Once this limit is reached, the system automatically deletes the oldest entries.

Learn why activity logs are deleted

We remove older activity log entries to keep the system running smoothly. This process ensures you can continue managing subscriptions without problems, including tasks like:

  • πŸ”„ Adding or removing licenses.
  • ⬆️ Upgrading to higher-level products or services.
  • πŸ” Renewing subscriptions.

Understand how deleting the activity log affects subscriptions

Truncating the activity log doesn't affect:

  • πŸ“Œ Your subscription's status.
  • πŸ§‘β€πŸ’Ό Customer service.
  • πŸ“„ The subscription itself.

It's a routine data management step that helps make space for new updates to your subscriptions, so the activity log stays up to date and works as expected.

Tip

To keep track of changes and avoid losing important data, save the activity log regularly. This practice helps ensure you still have access to it, even if it's deleted from our storage.
