When you import organizational data into Microsoft 365, you can select specific Microsoft 365 apps and services with which to share application-specific and custom data. You can map your imported data to the app-specific attributes and select which apps can access which attributes.
This gives you greater flexibility in managing how various apps and services can use your imported data, while also restricting apps' ability to use any sensitive organizational data you might have imported.
Import your organizational data
To use this feature, you need to set up a connector. Follow these steps to get started:
In the Microsoft 365 admin center, under the navigation on the left, select Setup.
Under Setup, select Migration and Imports.
Under the Tools to migrate or import data table, select Organizational Data in Microsoft 365.
If you haven't yet been provisioned
If this is your first time visiting Organizational data in Microsoft 365, or your tenant hasn't yet been provisioned, select Get started to advance through the screens. Once you've finished, select Start an upload.
Your tenant will start to provision. This can take up to 15 minutes.
Once provisioning is complete, you'll be automatically redirected to Select connection type. Select any of the connection types available.
If you have been provisioned
If Organizational data in Microsoft 365 has already been provisioned, continue with the following steps:
On the Organizational Data in Microsoft 365 page, select Data connections.
On Data connections, select New import.
On Select connection type, select your connection type.
First upload
1. Choose apps and services with which to share data
First, as you're setting up your connector, select the apps you'd like to store and use the imported data. You can change your selections at any time within Settings. Under each app, select View app specific attributes to see a list of attributes that can be accepted by that app. Any custom attributes in your import will also be uploaded. You'll set attribute-specific access later.
When you're done, select Next at the bottom of the page. Then, follow the on-screen prompts to prepare and import your data.
Learn more about how to import data with the Azure Blob Storage connector.
Learn more about how to import data using a .csv connector.
Learn how to import data using SAP SuccessFactors.
Learn how to import data using Workday.
2. Map reserved attributes to your imported data
After you've prepared your imported data and entered your connector details, you can map reserved attributes to the imported data. This means you'll match attributes from your imported file to their corresponding attributes for the apps with which you're sharing data. Any imported attributes that you don't match to reserved attributes are used as custom attributes and can't be renamed.
On the left under Reserved attributes, is a list of the reserved attributes for the app(s) you selected in Step 1. On the right, under Imported attributes, is a list of the attributes pulled from your imported data.
Note
Any attributes that are imported with Microsoft_ are automatically mapped to the corresponding reserved attribute.
For each reserved attribute, select the appropriate matching imported attribute. When you're done, select Next.
3. Review your custom attributes (if any)
If you've imported any custom attributes, review them on this page. These can't be renamed and you can't change their data type. To make changes to the names, update your .csv file and import the data again.
4. Choose attribute access for apps
If you sent any app-specific or custom data to any destination in Step 1, you'll choose which apps can access those attributes you mapped in Step 2.
For example, the illustration below shows the reserved attributes of Microsoft_EmploymentType, Microsoft_HireDate, and Microsoft_WeeklyBadgeOnsiteDays selected to be used by Viva Insights (including the Copilot Dashboard) and Viva Glint, although they aren't available for People Skills and Microsoft 365.
If you didn't select any destinations on the first page, you can skip this page. When you're done, select Next.
After you've chosen the attribute access for app-specific reserved attributes, select the attribute access for custom attributes, if you've imported any.
Finally, view the global attributes that are used for all Microsoft 365 apps and services. These are attributes pulled from your imported data that are automatically used by all eligible apps. At the bottom of the page, select Next.
On the last page, review all the details, apps, and attribute mapping for your connection. If everything looks correct, select Begin validation or Connect, if setting up the Azure Blob connector. Once validation is complete, the organizational data will be made available to the apps and services you selected.
Edit attribute mapping
For .csv connections
After you've set up a .csv file connection, you can view your attribute mapping selections in the connector details page.
Note
Because .csv imports don't recur, you can't change your attribute mapping once it's ingested. To make a change to the mapping, you must complete a new .csv import.
To view your attribute mapping, follow the steps below:
In the Microsoft 365 admin center, under Settings on the left, select Setup.
Under Setup, select Migration and Imports.
Under the Tools to migrate or import data table, select Organizational Data in Microsoft 365. On the Organizational data in Microsoft 365 page, select Data connections.
Under Connection type, select the .csv connector.
On the connection details page, select View attribute mapping. This shows the attribute mapping for all attributes ingested through this connector. You can make changes to your data access selections once a .csv import is complete. This won't affect any data that has been ingested, but any future data ingested through any connectors will adopt the changes you make.
For Azure blob storage connections
To change your attribute access or attribute mapping selections for apps and services after you've set up an Azure blob storage connection, follow the steps below.
Under Connection type, select Azure blob storage connector.
On the details page, select Edit attribute access and mapping.
Follow the on-screen prompts to make your changes, using the same process for the first upload described above.
Changes made to attribute access apply across all connectors. Changes to attribute mapping will only apply to that particular connector.
Subsequent uploads
You can make changes to organization-wide data access at any time in Settings.
You can change which Microsoft apps and services receive data, and also change the shared app-specific attributes and custom attributes. Any changes you make to data access apply across all connectors.
To change your attribute access selections:
In the Microsoft 365 admin center, under Settings on the left, select Setup.
Under Setup, select Migration and Imports.
Under the Tools to migrate or import data table, select Organizational Data in Microsoft 365.
On the Organizational Data in Microsoft 365 page, select Settings.
Under the Organization-wide data access section, select Edit data access.
Make any adjustments to apps and services that you want to access app-specific and custom data. Select Next and confirm the updates.
Make any updates to the app-specific detailed attribute access section and select Next.
Make any updates to the custom attributes detailed attribute access section and select Next.
Review global attributes and select Next.
Review your changes and select Confirm.
Once complete, these settings are applied to any future data ingested.
